An empty appointment slot is money you can鈥檛 get back. You blocked the time, maybe turned someone else away, and then nobody showed up.
Most no-shows aren鈥檛 rude. People forget, mix up the day, or something comes up and calling to cancel feels awkward. That鈥檚 good news, because each of those has a simple fix.
1. Confirm every appointment right away
A confirmation sent the moment someone books does two jobs: it reassures them the booking went through, and it puts the time in writing. Include the date, time, address and what to bring or expect. A calendar invite they can add with one tap is even better.
2. Send reminders, and more than one
A reminder the day before gives people time to rearrange things. A second, short reminder an hour or two before catches the ones who still forgot. Keep reminders friendly and include the time, the place and how to reschedule.
3. Make rescheduling easy
If changing an appointment means an awkward phone call, many people just won鈥檛 show up. Put a reschedule link and a cancel link in every confirmation and reminder. A customer who moves their slot is a customer you keep, and the old slot opens up for someone else.
4. Have a clear cancellation policy
Decide how much notice you need, for example 24 hours, and say so plainly when people book and in your confirmations. Most customers respect a policy they were told about up front. Some businesses take a deposit for longer or high-demand services. If you do, explain it clearly before people book.
5. Let customers book themselves, any time
People often decide to book at night or on the weekend, when you can鈥檛 answer the phone. If the only option is to call tomorrow, many won鈥檛. Online booking catches them in the moment, and people who choose their own time are more likely to show up for it.
6. Ask the right questions up front
A few short questions at booking (the car model, the number of rooms, the type of haircut) help you prepare. They also mean the customer has thought about the appointment, which makes it feel more real and less forgettable.
7. Keep a waitlist for last-minute openings
When someone cancels, a short list of regulars who鈥檇 happily take a last-minute slot turns a loss into a full day. A quick text to the list is often all it takes.
Put it on autopilot
You could do all of this by hand, but most owners don鈥檛 have time to text every customer twice. That鈥檚 where online booking pays off: confirmations, reminders and reschedule links go out on their own while you work.
BoostCrow鈥檚 Booking Boost adds this to your website. Customers book 24/7 and get a confirmation with a calendar invite, plus reminders 24 hours and 1 hour before. They can reschedule or cancel from the email, and it syncs with Google Calendar or Microsoft 365 so you鈥檙e never double-booked. It鈥檚 available on any plan and included with Professional and Local Hero. See current prices.
